  • Account information: name, email address, password (hashed), profile details.
  • Coaching data: athlete contact information, session schedules, session notes, communications between coaches and athletes.
  • Payment information: processed through Stripe. We do not store full payment card numbers.
  • Usage data: log files, device type, IP address, browser type, pages visited.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service.
  • Process payments and send transaction confirmations.
  • Send reminders, notifications, and service-related communications.
  • Generate AI-powered features such as session notes, messages, and summaries.
  • Detect and prevent fraud or abuse.

3. How We Share Your Information

We do not sell your personal information. We share information only with:

  • Service providers: Stripe (payments), Twilio (SMS), Postmark (email), Supabase (database hosting), Vercel (application hosting), Anthropic (AI features).
  • Legal requirements: when required by law, court order, or to protect rights and safety.
  • Within your account: athletes receive communications you send through the Service.

4. Data Security

We use industry-standard security measures including encryption in transit (TLS), encryption at rest, and access controls. No system is perfectly secure, and we cannot guarantee absolute security.

5. Data Retention

We retain your data for as long as your account is active. You may request deletion of your account and associated data by contacting support@mycoachflow.co. Some data may be retained for legal, tax, or fraud-prevention purposes.

6. Your Rights

7. Cookies and Tracking

We use minimal cookies necessary for the Service to function (authentication, session management). We do not use third-party advertising trackers.

8. Children

myCoachFlow accounts are only available to users 18 years or older. However, athletes who book sessions through coaches’ booking pages may be minors. In that case, a parent or guardian must provide consent and contact information. We do not knowingly collect data from minors except through this guardian-mediated process.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the Service or via email.
