We retain your data for as long as your account is active. You may request deletion of your account and associated data by contacting support@mycoachflow.co. Some data may be retained for legal, tax, or fraud-prevention purposes.

We use minimal cookies necessary for the Service to function (authentication, session management). We do not use third-party advertising trackers.
myCoachFlow accounts are only available to users 18 years or older. However, athletes who book sessions through coaches’ booking pages may be minors. In that case, a parent or guardian must provide consent and contact information. We do not knowingly collect data from minors except through this guardian-mediated process.
When a coach connects their Google Calendar to myCoachFlow, we use the Google Calendar API to keep their personal Google Calendar in sync with their CoachFlow sessions. This integration is optional and is only available on the Pro plan.
What we access: We request only the https://www.googleapis.com/auth/calendar.events scope. This permission allows myCoachFlow to create, update, and delete events that myCoachFlow itself creates on your calendar. We do not read your existing calendar events. We do not access any other Google data (Gmail, Drive, Contacts, etc.).
How we use it: We use this access exclusively to mirror the bookings, edits, reschedules, and cancellations that already exist in your CoachFlow account onto your Google Calendar. No other use is made of this access.
What we store: We store a Google-provided refresh token, which lets us write to your calendar without you having to sign in repeatedly. We also store the Google event ID for each session we create, so we can update or delete the right event later. We do not store the contents of any other Google data.
Sharing and use restrictions: We do not sell, share, transfer, or otherwise disclose Google user data to any third party. We do not use Google user data for advertising. We do not use Google user data to develop, improve, or train generalized AI or machine learning models.
Revoking access: You can disconnect myCoachFlow from your Google Calendar at any time from Settings → Google Calendar in your CoachFlow dashboard, or from your Google Account permissions page at https://myaccount.google.com/permissions. Disconnecting immediately revokes our access and stops future sync. Calendar events we previously created will remain on your calendar unless you delete them yourself.
Limited Use compliance: myCoachFlow’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
When you provide your mobile phone number during the myCoachFlow booking process, you consent to receive SMS text messages from your coach via myCoachFlow. These messages are strictly transactional and include booking confirmations, session reminders, schedule changes, and cancellation notices.
Message frequency. Message frequency varies based on your booking activity, typically 2–5 messages per week.
Message and data rates. Standard message and data rates may apply, depending on your mobile carrier and plan.
Opt-out. You can opt out at any time by replying STOP to any message. For assistance, reply HELP. After opting out, you will no longer receive SMS messages from myCoachFlow.
No marketing. We do not send marketing or promotional SMS messages. Messages relate solely to your scheduled sessions and account activity.
Third-party sharing. Mobile phone numbers and SMS opt-in data are not shared with third parties for marketing purposes. We use Twilio, Inc. as our SMS delivery provider; Twilio processes message metadata solely to deliver messages on our behalf. Twilio's privacy policy is available at https://www.twilio.com/legal/privacy.
Optional. Providing a phone number is optional. If you do not provide a phone number, you will still receive all booking-related communications via email.
We may update this Privacy Policy from time to time. Material changes will be communicated through the Service or via email.
